Rental Terms
All vehicle rentals come with a comprehensive Rental Agreement that will be provided upon booking confirmation or at the time of vehicle collection. This document outlines the specific terms, conditions, insurance information, charges, and your responsibilities related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle requires:
- To rent a vehicle from Gainsborough Car Hire, drivers must be at least 21 years old, although age restrictions may vary depending on the vehicle type. A valid full driving licence, appropriate for the vehicle category, is required, held for the duration specified in the Rental Agreement. Additionally, drivers must present valid identification and proof of current address, along with valid payment details and a security deposit. Any further requirements outlined in the Rental Agreement must also be met.
Booking and Payment Terms
- Reservations can be completed via our website, by calling us, or at our Gainsborough office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are generally payable at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. Payments are accepted through major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be prepared and must be signed by both parties. Please ensure that the vehicle is returned in the same state as it was collected, considering only normal wear and tear. Any new damage will be evaluated and charged as necessary. The vehicle should be returned with the same fuel level as at collection; otherwise, refueling charges will apply. Late returns may result in extra fees, so please inform us promptly if you expect to return the vehicle later than agreed. You are accountable for any parking fines, traffic violations, or other charges incurred during your rental, along with an administration fee.
Insurance and Responsibility
- All rentals come with basic third-party insurance included. Comprehensive coverage information and excess amounts are outlined in the Rental Agreement. Additional insurance options may be available to limit your financial liability, so please review these options thoroughly. You will be liable for any damage or loss up to the insurance excess, unless additional coverage applies. Any damage resulting from negligence or misuse remains your responsibility, regardless of insurance status.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the booking type and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
7. Restricted Activities
Prohibited uses of rental vehicle:
- The vehicle must not be used for any unlawful activities. This includes racing, rallying, off-roading, or any other dangerous pursuits. Transporting hazardous materials is prohibited. Sub-letting the vehicle or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. Vehicles should only be used for their intended purposes, and it is important to adhere to passenger and weight limits. Driving beyond agreed geographical boundaries without prior approval is also not permitted.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Gainsborough Car Hire will not be responsible for any indirect, incidental, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims will not exceed the rental amount you paid in the last 12 months, except in cases of negligence leading to death or personal injury, or fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. Disputes will fall under the jurisdiction of English and Welsh courts.
Updates to Terms
We reserve the right to amend these Terms at any time. Changes take effect immediately upon being posted on our website. Continued use of our services indicates acceptance of the revised Terms.
